Reviewing a Document

It is necessary to perform reviews in the Document record in order to change document status. Reviews can be attached to the Document record ad hoc by the document owner, or they can automatically be attached to the Document record when it is created by the document review model which is attached to the document type.

Changing Document Status

The following options are available for using review type to change document status:

From Status To Status Options

INWORKS

CURRENT

Option 1 - Document owner signs-off on the review while the document has a status of INWORKS.

 

Option 2 - Document owner routes the review to a review group who then signs-off on the review while the document has a status of INWORKS.

 

This review type is set to auto-close for both options above so that upon approval, the status of document will change to PRERELEASED.

 

Once the effective date in the document is met, SmartComm automatically changes the status to CURRENT.

CURRENT

EXPIRED

Option 1 - Document owner uses the Auto Expire option in the Document record to expire the document by bypassing the final review to expire. This option is typically used.

 

Option 2 - Document owner signs-off on the review while the document has a status of CURRENT.

 

Option 3 - Document owner routes the review to a review group who then signs-off on the review while the document has a status of CURRENT.

 

For Options 2 and 3 above, upon approval, the document owner makes the decision to manually close the review and determines if the document will remain CURRENT by scheduling another review based on the approval decision, or expire the document by closing the review if the decision is made to expire the document.

 

If No Further Review is Required, the status of document changes to PREEXPIRED when the review is closed.

Once the expiration date in the document is met, SmartComm automatically changes the status to EXPIRED.
